Anyone who has scrolled through a crowded workspace looking for one specific file knows the frustration. Long folder structures, similar file names and no quick way to narrow things down - it all adds up to wasted time.
That's why we've introduced document tagging in Ideagen Collaboration Portal. Tagging lets you apply one or more labels to any document, so you can filter and search by tag instead of hunting through directories manually.
How it works
Tags are configured at the account level, so every workspace under your account shares the same tag library. Your Account Manager sets this up in Account Settings, either by adding tags manually or uploading a list via CSV, for example, labels like "Finance," "Legal," "Approved," or "Draft."
Once the tag library is in place, anyone with Editor permissions can tag a document. Just open the file, select the More menu, choose the Tag icon and pick one or more relevant tags from the picker. Only pre-configured tags can be applied, there's no free-text tagging, which keeps your labelling system consistent across the account.
Finding tagged documents
Once files are tagged, there are a few ways to track them down:
- Use the tag dropdown in the search bar to filter by a specific label
- Click any tag shown on a file to instantly filter search results to that tag
- Use the tag filter within any file list view to narrow results to documents carrying one or more tags
Getting started
Document tagging isn't switched on by default. To enable it for your account, open a support ticket requesting activation. Once it's enabled, your Account Manager will see the option appear in Account Settings.
