A US government forensic science division operates across seven labs covering disciplines from DNA analysis to questioned documents. Every policy, procedure and training record must be traceable, current and defensible in court. The challenge
Managing critical forensic documents without a safety net
Forensic labs operate in an environment where documentation errors aren’t just operational problems; they’re legal ones. Critical discipline manuals and lab policies must be version-controlled, accessible across distributed locations and auditable at all times. Without a centralized quality management system, there was no version control, no audit trail and no reliable way to confirm that updated procedures had reached everyone who needed them.
Freedom of Information Act (FOIA) requests and legal discovery add further stakes. When courts or attorneys request the exact policy in effect on a specific past date, producing it manually takes hours per request, and the division receives them regularly. Centralizing that process wasn’t just an efficiency goal; it was a compliance imperative.

Document control and legal defensibility
Every forensic discipline manual and lab policy is version-controlled, with each revision capturing the reason for the change and a complete approval history. Documents are set to expire every 11 months to allow for modification. When a policy changes, all staff are automatically notified. When a FOIA or legal discovery request arrives asking for the policy that was in effect on a specific date, that version is on record: timestamped, documented and ready.
Workflow automation
Hundreds of paper forms are progressively being replaced with digital workflows covering processes like proficiency test scheduling, testimony review, employee onboarding and offboarding. Digital routing eliminates manual handoffs and creates a full action history for every process, including who did what and when. When someone leaves, their open items can be reassigned with the full workflow history intact so continuity doesn’t depend on institutional knowledge.
Forensic scientist training management
Certifying a forensic scientist in a new discipline takes up to two years. IQM tracks every stage of that process across the trainee, trainer, supervisor and technical leader, with training procedures housed as documents and every completion record logged directly in the system, ready to surface during accreditation audits.
ANAB accreditation readiness
Weeks before each ANAB accreditation audit, the division provisions auditor login credentials so they can access IQM directly to pull training records, corrective action logs and document versions without requiring staff to manually prepare a thing. Internal audits follow the same approach: auditors self-navigate rather than waiting on documents to be pulled for them.
The results
100,000+ records and a system the whole division runs on
Since 2017, the division has accumulated over 100,000 total records in IQM, spanning documents, workflow instances and compliance logs, reflecting deep organizational adoption. Every new hire receives a dedicated
IQM orientation as part of onboarding. Accreditation audits run more smoothly. FOIA responses that once took hours of manual work now have a clear starting point.
