As Ideagen grows, we are continuing to establish and grow our Sales Order Processing department within our existing Operations Function. We are now looking for a Senior Sales Operations Assistant to work with us on a fixed term basis for 6 months. In this role, you will have the opportunity to join our dynamic Sales Operations Team in our Head Office, to facilitate the transfer of information from our CRM system onto our Accounts systems.

Key responsibilities:

  • Taking the lead within the team to ensure the smooth integration of new acquisitions into our Sales Order Process
  • Extracting sales order information from our CRM system, Salesforce, and using it to raise orders on our accounts system, ready to invoice
  • Ensuring the sales teams follow our process, and have provided all the relevant legal paperwork from customers
  • Using information on Salesforce to create accurate Service Contracts for our entire suite of products
  • Liaising with suppliers for quotes and raising cost of sale purchase orders to suppliers when required
  • Dealing with customer queries regarding invoicing, both on email and over the phone
  • Supporting the Operations Team Leader with month-end reporting
  • Assisting with the smooth transition between our current accounts system (Sage 200) and our new accounts system (Netsuite)

To be considered for this role, you must have:

  • Demonstrable experience in a similar administrative role
  • Previous experience within a customer-facing role
  • Exceptional organisational skill with excellent attention to detail
  • Strong written and oral communication skills
  • Working knowledge of CRM systems, preferably Salesforce
  • Excellent working knowledge of Microsoft Office, including Excel
  • Knowledge of accounts systems, Netsuite would be highly advantageous
