As Ideagen is growing as a business, we have a fantastic opportunity for an Operations Assistant to come and join our busy Operations and Finance team at out Head Office in Ruddington, Nottingham. Supporting the team, you will be responsible for a full range of Finance and Operation administrative activities, helping to deliver an efficient and effective service to the department and wider business.

Key responsibilities: 
  • Extracting sales order information from our CRM system, Salesforce, and using it to raise orders on our accounts system, Netsuite, ready to invoice
  • Ensuring the sales teams follow our process, and have provided all the relevant legal paperwork from customers
  • Using information on Salesforce to create accurate Service Contracts for our entire suite of products
  • Liaising with Sales, Projects, Finance and Support Teams as and when required
  • Working with suppliers for quotes and raising cost of sale purchase orders to suppliers when required and maintaining excellent working relation 
  • Providing excellent customer service when dealing with customer queries regarding invoicing, both on email and over the phone
  • Proactive in recommending improvements to the sales performance 
  • Provide support for the Operations Manager with ad-hoc projects 
  • Be a team player working with the wider Operations Team 
To be considered for this role, you must have: 
  • A well organised, enthusiastic, methodical, and adaptable approach 
  • Excellent levels of attention to detail
  • Exceptional written and oral communication skills
  • Demonstratable administrative experience 
  • Able to work autonomously and manage own workload in a fast-paced environment 
  • Team player


  • Knowledge of accounts systems, Netsuite would be an advantage
  • Knowledge of CRM systems, preferably Salesforce
  • Previous experience within a customer-facing role
